15. Important Appointment Information
It is mandatory to complete your intake form within 24 hours of booking your appointment or the same day if your appointment is scheduled for the following day.
An up-to-date intake form is required to receive care. Failure to complete the intake form will result in forfeiture of your appointment(s) and corresponding credit(s).
Once completed, your intake form remains valid for one year.
Members are required to complete this form annually.
All service agreements must be signed prior to receiving care. Failure to sign the agreement(s) will also result in forfeiture of your appointment(s) and credit(s).
16. Session Timing, Structure, and Credit Cost
Sessions begin upon entering your treatment room. While many sessions are 60 minutes, some may last up to 3 hours depending on the treatment.
Each session typically includes:
A brief intake conversation
Hands-on treatment (approximately 45–50 minutes in a 60-minute session)
A brief outtake discussion, which may take place in the room, lounge, or boutique.
Practitioners will sanitize the room post-session to maintain clinical safety.
Sessions vary in length and may require between 1 to 7 credits. Always review the credit cost before booking.
17. Payment & Credits
Payment is collected at the time of booking and deducted from your account credits or charged to your card on file.
If others are linked to your account, your credits may be used to cover their bookings.
Additional credits may be purchased:
Single Credit Purchases
Credits purchased individually or issued as part of standard monthly activity expire 30 days from the purchase date or the last day of active membership, whichever comes first. These credits are designed to encourage immediate booking and active engagement with care.
Reloaded Credits (12, 24, 48, 96)
Credits purchased in reload quantities of 12 or more expire 12 months from the purchase date or the last day of active membership, whichever comes first. These extended-expiration credits are ideal for clients who wish to plan their care over a longer period.
18. Appointment Policies
Cancellation, No-Show & Rescheduling Policy
Saffron & Sage requires a minimum of 48 hours notice to cancel or reschedule appointments.
Changes must be made via:

Email or app changes are not accepted.
Late cancellations (less than 48 hours):
Credits are forfeited
$50 fee per scheduled hour for all members
$100 fee per scheduled hour for Unlimited Members
Same-day bookings are final. Cancellation will result in forfeited credits and applicable fees.
No-Show Policy
Failing to appear without 48 hours notice:
Forfeits service value and credits
$50 no-show fee/hour for all members
$100 no-show fee/hour for Unlimited Members
Fees are non-refundable and non-negotiable
19. Tardiness Policy
Arrive 15 minutes early for check-in and preparation.
If late:
Session will still end at scheduled time
No extensions or refunds provided
Over 15 minutes late: appointment is canceled, credit is forfeited, and late cancellation fee applies
20. Refund Policy
No refunds for services or products.
No refunds or rescheduling for late cancellations or no-shows.
All retail sales are final. No returns/exchanges on wellness or hygiene products (e.g., supplements, essential oils, skincare).
Credits are non-transferable and non-exchangeable.
21. Attendance & Sickness Policy
Members must arrive in good health, free of cold, flu, COVID-19, or other symptoms.
Staff will conduct temperature checks.
Entry will be denied for symptoms; credits/fees are forfeited.
Face masks are required to protect clients and staff.
No rescheduling, credit extensions, or refunds for missed sessions due to illness or non-compliance.

By scheduling services, you agree to all cancellation, rescheduling, no-show, tardiness, refund, and attendance policies listed above.
23. Payment & Billing Policies
All purchases (including services, products, credits, and memberships) are automatically charged to the card on file.
Payment is processed at the time of booking or purchase.
When booking a service that exceeds your available credits, the system will:
Deduct all available credits, and
Charge your card for any additional credits required.
You are responsible for monitoring credits and bookings via the Saffron & Sage mobile app.
For clients on doctor-directed care plans, a dedicated concierge team is available.
A valid payment method must be maintained on file at all times to access care and benefits.
If a payment fails:
Booking access and member pricing will be suspended.
You must update your card and submit payment within 48 hours.
A 5% late fee per day will be applied starting 48 hours after the failed attempt until payment is received in full.
24. Membership Eligibility & Application
Saffron & Sage is a private members-only holistic health club. Membership is not available for direct online purchase.
All applicants must:
Complete a New Member Intake Form
Submit a Member Application
Participate in a Consultation with a Licensed Practitioner
Upon acceptance, members must:
Complete onboarding
Sign the Member Agreement
Acknowledge all Saffron & Sage Policies and the Code of Conduct
25. Membership Terms & Auto-Renewal
Memberships are offered as monthly or annual plans.
All memberships automatically renew on your enrollment anniversary unless canceled in writing.
Cancellation Notice Requirements:
Monthly: Minimum 7 days' notice before the next billing date
Annual: Minimum 30 days' notice prior to renewal date
Pricing Policy:
Membership rates increase by 5% annually on your anniversary.
Changes in tier or renewal will reflect the current published rates.
Billing Date Notes:
Charges may be processed on the nearest business day if the billing date falls on a weekend, holiday, or after the 28th.
26. Credit Expiration Policy
Saffron & Sage uses a credit-based system for flexible care.
Expiration Guidelines:
Single Credit Purchases: Expire 30 days from purchase or the end of active membership—whichever is first.
Reloaded Credits (12, 24, 48, 96): Expire 12 months from purchase or the end of active membership—whichever is first.
All credits are non-refundable, non-transferable, and do not roll over beyond expiration timelines.
By submitting payment, you consent to recurring charges and agree to all membership terms.
27. Notice of Material Changes
Saffron & Sage will notify you via email at least 7 days in advance (but no more than 30 days) of any material changes to:
Membership
Pricing
Terms or policies
28. Adding Members to Your Account
You may request to add a person to your account. They must:
Complete a New Member Intake Form
Submit a Member Application
Participate in a complimentary Member Consultation
Upon approval, the added member will receive:
Access to your member pricing, credits, and perks
You remain financially responsible for their usage. Each added member must sign the Member Agreement and comply with all policies.
29. Guest Pass & Introductory Offer Terms
Valid for 90 days from purchase or until all credits are used.
This is a one-time, non-renewable package.
The Intro Offer does not guarantee future access or member pricing.
Cannot be combined with other discounts or offers.
Continued care requires completion of the member application process.
30. Sickness & COVID-19 Policy
You must be symptom-free at the time of your appointment.
Temperature checks are required upon arrival.
Entry will be denied for symptoms related to cold, flu, or COVID-19.
Your appointment credit will be forfeited in such cases.
Face masks are required on-site.
No refunds or rescheduling will be provided for missed sessions due to illness or non-compliance.
31. Virtual Offering Terms
Virtual services are one-time purchases, valid for 12 months from purchase.
Credits must be used within that period.
These offerings do not lock in pricing, which may change.
To secure consistent rates and access, consider enrolling in an Annual Membership.
32. Violations & Termination
Any and all services including but not limited to the Introductory Offer or Membership will be immediately terminated if you:
Violate the Client or Member Agreement or Code of Conduct
Initiate a chargeback for any service or product purchase, renewal, or other purchase that violates the client or member agreement.
Upon termination:
All remaining credits, perks, and account balances are forfeited
Access to care and services is permanently revoked
Reinstatement is not permitted
33. Updates to This Policy
We reserve the right to change this Privacy Policy and Terms of Use at any time. The most recent version will always be posted on our website. Continued use of the site constitutes acceptance of any changes.
